Office of Community Engagement Event Requests
Are you looking for representatives from Morehouse School of Medicine at your event? Partnering with the Office of Community Engagement can get you access to multiple services including the MSM HEAL Clinic, speakers, and health information for your community or events. We would love to help provide MSM representation at your event!
Before you get started, see below for some guidance on how to fill out the form and what kind of expectations we have. Feel free to contact us with any questions you may have.
The Last Week to Submit a Partner Request for 2024 is October 4th. The last day for scheduled partner events will be on November 24th. The Office of Community Engagement will start receiving requests for 2025 on December 16th, 2024. OCE will begin scheduling events for 2025 on January 11th, 2025. Requesting MSM Representation at Events
If you would like representation from MSM at your event, we only ask that you give us at least 8 weeks to process the event request form.
Our services include:
- Point of Care Screenings (blood pressure, glucose, and cholesterol)
- Seasonal (Sept-Mar) Flu Vaccinations from the HEAL Clinic – click here for more details.
- Speakers for webinars, seminars, panels, etc.
- Workshop participation (unless organized by the institution, we cannot host workshops for your event).
- An exhibit table with health materials to educate your community on various health topics and opportunities. You may also request only MSM materials if you like; we can coordinate a plan for you to pick up the materials.
Why do we need 8 weeks in advance?
We tend to receive requests for the MSM HEAL Clinic more often than the rest of our services. It’s a great resource, after all! Giving us 8 weeks’ notice will allow us enough time to properly process your request and determine who can attend your event. It’s best to get your request submitted early, however, if you happen to submit your request earlier than 8 weeks (for example, 8 months ahead), we won’t start the review process until those 8 weeks.
Since HEAL is such a high demand service, we can’t guarantee their presence at your event even if you submit your request early. For example, if there’s an event that is being hosted by MSM, that event would take precedence. Preference is also given to those who can submit their requests by at least 8 weeks. Please keep in mind that our process will not start until your request has been submitted through the form. Any changes will have to be resubmitted and may restart the process depending on the change. Any requests through email or any other means of communication will not be processed.
Information on the MSM HEAL Clinic
- The HEAL Clinic, or HEAL, can provide the following services:
- Point of Care Screenings, which always include blood pressure, blood glucose, and cholesterol.
- Flu Vaccinations - which are seasonal from September to March.
- HEAL is run by students. The availability of HEAL and the health screenings can and will be affected by holidays, midterms and finals weeks, and graduation. Thank you for understanding!
- A large space is needed for HEAL to conduct their screenings and provide vaccination. If your event can provide chairs, tables, and tents, please refer to the Provisions Guide below:

Since the HEAL clinic has such a large presence and have to haul in a considerable number of supplies, it would be very helpful (and preferrable) if the stated number of tables and chairs could be provided.
- The HEAL clinic uses special equipment that can get damaged by poor weather, which is why we will request a contingency plan for poor weather. Please let us know if the event is cancelled before the day of the event!
- HEAL is a high demand service. Many organizations request HEAL’s presence at their events and so we need to keep priority to those who need it most. Before filling this form, consider if there is already another organization that is providing screenings or flu vaccinations at your event so that HEAL can provide their services to another community in need. We appreciate your understanding!

8 Week Processing Timeline
- Week 1: Request Received
- You should get a message affirming the receipt of the request. We recommend that you opt in to receive a copy of your response as a receipt.
- If your request is submitted earlier than 8 weeks, we will send a follow up message once the 8 weeks have been reached and the process for your request has started.
- Week 2: Internal Review of the Request
- Start identifying available services and resources – either internal or external.
- Collaborative partners are made aware of possible events.
- Opportunities are forwarded to contacts.
- Week 3 - 4: Request Logistics
- Send a follow up email indicating the status of the request.
- Gather additional information.
- Inform requestor(s) of supplemental resources if OCE or HEAL is unavailable.
- Week 5 - 6: Status of Request is Sent
- The request will have either been accepted or denied by this time.
- A notification will be sent to the requestor using all contact information.
- Week 7 - 8: Preparations for Accepted Events
- Internal preparation for the event. OCE will be in constant communication with the event coordinator regarding logistics.
